This tutorial goes into detail on how to add a note to an Early Alert Request. Notes are used to capture evidence of the effectiveness review and customer communication back to MacDermid Enthone regarding the status of product at their facility.
Navigate to and open the request by following tutorial "Navigating, Opening, Editing and Saving an Existing Early Alert" Steps 1-3.
1.0 Note Section
Scroll down to the "Notes" Section of the Request
- Click on "Create Note"
- Make sure to select "Early Alert Note" in the "Select Document Type" Drop down box
- By default the "Document Layout" drop down box will only contain one option "Early Alert Note Layout"
- Click on the forward chevron to proceed
2.0 Sections of an Early Alert Note
- Identity section contains information copied over from the request. It also contains automatically assigned Dates and Status.
- The body of the note allows you to type in information on the effectiveness review. What was the result of correction implementation. Has there been any other occurances?
- The image and attachment field can be used together. You can attach customer's communication back to you regarding the early alert. As you attach also take a snap shot of the response and paste it into the image field so that when someone is looking at the early alert they don't have to open the attachment and get a preview form the image.
- Disposition field allows us to report on final disposition of the product. You have sent customer recommendation on what to do with the product, but they always have a choice to return it back. This needs to be captured in this field.
- Associated Items can help link any documents that were revised or created, or control plans.
- Notification List can be used to notify production employees of the final disposition of the product.
2.1 Body Section of Early Alert Note
- In this section type notes about solutions that were implemented and their effectiveness,
2.2 Image and Attachment Section
- Copy and Paste a screen shot of customer's response to the early alert investigation into the image section (best browser to attach images is Firefox)
- Attach a full PDF of customer's response in the attachment section by clicking "Attach File" button
- Browse to locate the document on your computer
- Write an attachment description into the text box, for example "Customer Response to Early Alert"
- Click "Confirm" to attach
2.3 Disposition Section
This section will allow us to keep track of final disposition of the product. ALthough our recommendation to the customer might be to use the product, the customer might decide otherwise and it's important to capture this info.
- Select an option form the drop down list. (If the most appropriate category is not listed contact system administrator to add a new category)
