This is a comprehensive tutorial that applies to updating Documents including those that were Migrated from QSI System 9000. This pertains to individual documents as well as general clean up activities that may be performed at any site. Depending on the Document you are modifying and the changes you require, certain sections of this tutorial may or may not apply to you. Please contact Jonathan Bimler (Americas), Mike Finch (Europe), or Genius Ho (Asia) with your specific questions.
1. Approved Documents in your CPro Organization
Document Authors and Managers need to be constantly updated as employees join, leave, or change roles within the company. Several documents migrated from our Legacy software (QSI) no longer have a valid author. In the case that our legacy software referenced an employee who is no longer with the company, we have replaced the reference with the name Update Me.
Viewing Documents within your selected CPro organization
- Navigate to the main menu
- Expand "Document Control"
- Click "Approved Documents"
The sections below detail several changes you may need to perform on your Documents. Click to expand the content in each section
2.1. Approved Documents
There are several "Views" available under the Approved Documents heading. The view "by Document Type" view will be presented by default
- Click "by Author and Document Type"
2.2. Approved Documents by Author and Document Type
Clicking "Update Me" in this view will show you all documents in your organization without a valid author
2.3. Approved Documents by Manager and Document Type
- You will need to review each of these two views to find all instances of "Update Me" who are listed as Authors and Managers
- You can see in the examples above that a user may be a Document Author, Manager, or Both.
- Click "Update Me" to drill down into this Manager's Document Types
2.4. Approved Documents by Manager and Document type > "Update Me"
- Click each of the available Document Types to drill down to the individual Documents in each category.
- For this example we will Click "Standard Operating Procedure"
3.1. Change Owners and Readers
- In this example "Update Me" is both the Author and Manager of the Document.
- Click "Change Owners and Readers"
If the Author and Manager were different people, the Author will appear on the left and the manager on the right side in the same row.
3.2. Search for a new Document Author
Use the "Search Name" box to search for a new Author of the Document.
Searching for First or Last name only is the fastest and most effective search technique
3.3. Select new Author
- Select the desired Author name for the list
- Click the -> icon to replace "Update Me" with the desired User Name.
3.4. Successful Change of Author
You will see the desired User Name in the right hand box once you have updated the Author successfully.
3.5. Repeat for Document Manager
Repeat the steps 3.2 - 3.4 for the Document Manager - if applicable. (Alternately, only perform these actions for the Document Manager if the Author requires no change)
*Document Authors and Managers have equal rights when it comes to modifying and creating new versions of a document. As such, the Document Manager may be a different user than the Document Author.
3.6. Notification Recipients
- The Change Owners and Readers Dialogue allows you to update the Author, Manager, and Notification Recipients for the selected Document
- In this case, "Update Me" is also seen in the notification list and should be removed.
- Click Save when finished
3.7. Notification list
Notification Recipients may also be updated at the very bottom of the document where they are shown under the "Reason for Change" section
- Document Categories beginning with "QSI" have been migrated from QSI System 9000 for your reference. These categories are being replaced with the new CPro categories and need to be updated to enable more sophisticated categorization and search functionality in CPro.
- Click the Change Categorization button to reveal the CPro Categories.
4.1. Document Categorization
QSI categories be removed by an administrator at a later date. You cannot rely on these legacy values.
- Click on each of the Blue Links to populate the CPro categories
- Click Save When Complete.
- Both CPro and QSI Categories will show up in document after saving.
The remainder of the clean up activities in this article require you to create a new Document version and submit it for approval. Changes in previous sections do not require creating a new version.
- Select 'Modify' to start the process of modifying
5.1. Updating Required Information
- After clicking the modify button, we will need to populate newly required information before moving on.
- An error message like the one above will appear if you attempt to save the document.
5.2. Course Information
- Document Control is tightly integrated with the Training system in CPro
- You will need to populate the Total Training Time and Total Training Cost boxes. Try to be honest with regard to the amount of time it takes to review the document thoroughly and understand it's content.
5.3. Training Time and Cost
- The system will accept any values in these boxes, but it may be useful to use a standard cost per hour figure for Courses and Documents.
- CPro will allow the business to sum the total time and cost of training our employees using this information.
Migrated Documents have a different format than Documents created Natively in CPro. Some sections need to be removed to produce a cleaner looking document. If you wish to update your document to the CPro default sections, follow the steps in section 6 to add them to your Document.

- Select 'Edit Layout' in the main toolbar at the top or bottom of the window.
6.1. Update Document Layout
- Beneath the list of Document sections, check the box next to 'Apply Current Edition of Original template Layout'
- Click 'confirm'
- This will add the standard sections intended for use in CPro documents and you will be brought back to the body of the document in "edit mode".
6.2. Added Sections
- Here is a view after clicking "Save"
- The standard CPro numbered sections will appear at the top followed by the migrated QSI sections we will eventually delete.
- You need to transfer the information you need from the QSI sections into the CPro sections prior to removing the unwanted sections.
Attachments should be moved into to the newly added CPro section "4.0 Attachments" (This only applies if you followed section 6 to migrate to the CPro standard sections)
- Click each file and save the attachments to your PC (making any necessary changes to the attachments themselves).
- Missing Attachments: Some attachments will have not transfered properly during the migration process. These will typically be shown as an icon / image of the original attachment. When one of these is encountered, you will need to download the original attachment from the QSI System 9000 database in Lotus Notes.
For Document Control Documents are are "attachment-only", consider putting the content directly into the CPro Document sections. It is a preferred method for a variety of reasons.
7.1. Uploading in the "Attachments" section
- Once your attachments have been saved locally, you are ready to reattach them to the new Attachment section. (If you followed section 4 to migrate to the CPro standard sections)
- Click "Attach File"
7.2. Attachment Dialogue
- Click "Browse" to locate the file on your PC
- Describe the Document in the box below the attachment. This is the Title of the attachment that will be visible to users in CPro. (The filename and location of the attachement will not be shown on the screen)
- Attaching Multiple Files: This icon maybe used to attach multiple files. Click it to add another row to the form like the one shown above. You will need to Browse for and provide a label for each additional file.
- Click "Confirm" when completed to upload attachments.
7.3. Overwriting an existing file "Warning Box"
- You may receive this message after clicking "Confirm" in the step above.
- This occurs when the filename being uploaded already exists within the document.
- Click OK to overwrite the old file with the new one.
Associated Documents are essentially links between documents. For instance: A Work Instruction may refer to a Parent SOP or to Form Control Documents that used to carry out the Work being performed.
Associated Documents in CPro are live links that always point to the most up to date version of the document being referenced. This saves you the task of updating multiple documents when one refers to another.
CPro contains additional functionality to automatically notify the Author/Manager of associated items when a document that refers to it has been modified.
- Document Associations will migrate as plain text indicating the original document number and title from QSI System 9000 (as shown above)
- These associations need to be rebuilt in CPro to become live links to the latest approved version of the document.
8.1. Manage Associated Items
- Associated Items is where we build links within a document to other documents within the CPro System. (You may also link to external websites)
- Click Manage Associated Items
8.2. Add Associated Items
- In the "Switch to class" drop down box, Select "Document Control Documents"
- In the "Switch to organization" drown down box, select the home organization of the Document that you wish to associate.
- The screen will update to show you the list of Document Types available in the selected org. The "Switch to view" drop down box can be used to "View" the available documents in different ways. (Such as by document Author instead of document type)
8.3. Searching for the Document to Associate
- For the purpose of this article I have selected the "Form Control" document type and am presented with a list of all of the Forms within the selected organization
- You may search for the desired Document using the Legacy Document Control ID Number.
- Keep the default "Full-text" search selection and click the "magnifying glass" icon to search.
8.4. Search Results
- Click the checkbox next to the desired document
- Click "Add Selected Document(s)" to add the selected document to the list above.
8.5. Documents Pending Association
The Document will be added ot the list at the top of the screen, but we have not completed the association process yet.
8.6. Associate any remaining Documents.
- You may repeat you search as shown above(6.2 --> 6.4) to add multiple documents to the list
- The icons on the right hand side of the list can be used to change the order or remove any of the associated Documents.
- Click the "Chevron" icon to create the Document Associations
8.7. Completed Document Associations
- When completed, the associated Documents links appear as shown.
Don't forget to Save! Associated Items must be confirmed by clicking save in the toolbar like any other document modification.
You can identify the migrated sections of a document when they are not numbered 1.0, 2.0, 3.0, etc...
- You may or may not be removing migrated sections depending on your choice to update to the standard layout (Section 6 above)
- Legacy sections should always be deleted on the first modification in CPro once the Document Associations have been updated and Links and Attachments are populated elsewhere. Reason for Change and Document History will remain in the originally imported (obsolete version) of the document when the first modification is approved.
The original QSI System Control Number and Title are town at the top of each migrated document in the "Master Data Source" section. In some instances longer document titles will be truncated since the CPro Title field is shorter in length than what was allowed by Lotus Notes. The original non-truncated version of the title is shown here.
10.1. Migrated QSI Legacy for Change
The reason for change table as it appeared in QSI will appear on Migrated Documents. Subsequent change reasons will be stored in the standard CPro "Reason for Change" section, they will not be appended to the legacy section.
10.2. QSI Legacy document history
The Document History from QSI is also migrated. Subsequent History entries will appear in outside of the main body of the document in the dedicated Document History Area seen in the Sections panel on the left hand side of the Document.
Document Sections Starting with the Word "Legacy" should ALWAYS be removed.
Only remove the remaining sections if you followed Section 6 above to update your Document to the CPro standard sections and have migrated your content into them.
- Scroll to the top or bottom of the document and select 'Edit Layout'. Only do this after reviewing each section and migrating your data to the standard sections. Take special care not to accidentally remove the wrong sections.
11.1. Unwanted sections removal
- Mark a check in the box next to each of the section(s) you wish to delete and click the confirm button as you did in section 6.1
