Creating a Course Offering

Create from a course or Document

Open the required course or document Control Document you wish to offer. In the Special Actions menu on the left, choose 'Course Offerings'.

Create Special Action

Choose the 'Create Special Action' button then select the org where this offering will reside. The doc type and layout should already be displayed although other options may be available as required. Chevron forward when ready.

Once created you can change the instructor, if different than when this course was originally created, additional expediters and Manager.

Course Offering Schedule

Enter an Enrollment Start Date. Choose between Specifying Contiguous dates or Listing each date.

To change the time zone, click on the V button on the right side and then enter a completion due date for this offering.

Contiguous Dates

With contiguous dates you can specify the course start and end date as well as start & end times.

Training Time & Cost

Click the 'Calculate Total Training Time' button to populate the hours and minutes boxes.  This will be calculated from your start and end time in the contiguous section in the previous slide. The cost can be manually altered.

Repeat Offerings

By checking the box (1) you can allow creation of the next offering prior to closure of the previous.

If you choose to select 'Switch to Scheduled Initiation of Repeated Offerings', you can specify the period (1) for these offerings to repeat by days or months as appropriate based on (2) the previous offerings completion due date, enrollment start date or closed date. 'Switch to Manual Invocation after this many more reassessments' (3) allows to specify when you will take over manual creation of repeats after a nominated number of offerings has taken place. You can advance to manual by selecting the option (4)

Attachments and Associated Items

You can attache files using the 'Attach File' button and the 'Manage File Attachments' button to remove existing attachments you no longer need. Using the Manage Associated Items button you can Add, remove or reorder existing items.

Submit for Acceptance

Click the 'Submit for Acceptance' button.

Enrollment

Use the buttons provided to add potential candidates for this course. 'Add Attendees' will show individuals with the qualification Definition relevant to this course or document who have not already passed this current at its current revision. 'Add Attendees for Retraining' will show candidates who have already taken this course and passed. 'Add Attendees for New Training' will show all possible employees who have profiles in the Training & Qualification module from any org. Use the 'Add Attendees' button once you have a check mark against the employee(s).

Create Note

Use the Create Note button if you wish to add a note and/or attachment regarding this course.

Changing Schedule

Once the document is in process and sumbitted it is possible to Change the Start Date using the button provided.

The course offering now shows in each employees profile who were selected when it was created.  The requester shown in each employee will be there Manager or Supervisor and not the Course Instructor.

The employees manager will be able to see the scheduled course in the view 'Training for which I am Manager'. He can, if required, disenroll his employee from the scheduled Course Offering.

Shown above is the Managers view and the ability to disenroll and the lower Screenshot shows the employees unsatisfied training. As this is a course offering and shows as unsatisfied, it does not change the employees status of qualified to unqualified unless he failed the retraining.

When the course is completed 'Check for Ready for Completion Implementation'.  Other options are available including 'Cancel Course Offering'. Completing this will generate the next scheduled retraining if that criteria was set in the scheduling.
