Create a new Qualification Definition/Job Position

Use the new button and select Qualification definition and choose between 2-All Local Employees, 3 - Training Area or 4 - Special Task. 2 = A Training Qualification which must be fulfilled by all local empoyees. 3 = A Training qualification by an area such as R&D, QA, Manufacturing, Quality Control etc.  4 = A Training qualification which is unique to 1 or more employees irrespective of the department they work in or perhaps a task performed by a specific individual.

Title the new Qualification depending on the category. The prefix will be relevant to the choice made.  A Special Task will have the prefix QD4-.  Upon saving or approval a number will be assigned automatically to this record.

Select the department(s) relevant to this definition and click the Chevron.

This represents the number of days in which any trainee needs to be qualified

Give a description of the Qualification role. This can be brief if you intend to associate documents from Document Control which employees must be trained in to be qualified.

You can add, remove and manage attachments such as files, or pictures. Use the 'Attach File' button to browse for and attach documents from a Directory.  Use the 'Manage File Attachments' button to remove existing attachments.

Here you can add the relevant training courses appropriate to this Job Role.

Choose training courses or documents to add to this qualification definition. Choose the Class, organization and doc type to filter the type of record you wish to add. Put a check mark alongside the record and click on (1) Add Selected Training.  You can then change the doc class and repeat this process to get records of another type.

The chosen records are now ready to associate with this Qualification Definition.  Use the Chevron to do this. The small icons at the far right can be used to reorder the records using the green up and down arrows or the red X to remove records.

The records now in the training section of the Qualification definition are a requirement and must be satisfied when an employee has this definition.  Notice the small icon to the left of the Work Instructions and not against the Course Description.  This denotes that the WI's came from another org.

In the Reason for Change section you should record any changes you have made.  Specify the section changed and the reason.

You can add recipients to receive this job role once it has been approved. Use the Chevron to bring up the Directory.

Enter the first name of the person you wish to find then add them to the right hand box using the button (1) or double clicking.  Repeat this process to add more people. To select a group from the directory change the search criteria using the Group option (2). Once you have made all of your selections you can click the Chevron (3)

Select the Submission Wizard to start the process of approving this record. Select Approval, Allowance(s) and Named Workflow. You may only see one option for these criteria but ensure they are selected anyway then click the forward Chevron to proceed. Check the 'Wait for everybody' box (1) if you want this record to release 'only' once all approvers have approved.

Hit the chevron to proceed with approval. Check the 'Wait for everybody' box (1) if you want this record to release 'only' once all approvers have approved.

Double check the Reason for Change table before proceeding with approval then hit the 'Confirm Submit' button.

QD Approval

You now have options to 'Approve', 'Reject' and 'Clear Process'.  Choose 'Approve' if you are sure you want to release this record.

Enter your Cpro password and choose 'Confirm' as the final step to release this Qualification Definition.

If you have appropriate rights in Cpro you will be able to see additional options once a record is approved and released. You can 'Change Owners & Readers', Modify the document which will take it to the next revision, Obsolete the document if it is no longer required, Subscribe this document to another organization and Complete Audit Review to show you have reviewed its content for accuracy.
