Customer Specific Requirement Profile

1. Location of CSR's

Customer Specific Requirement Profiles are located under 'Customer Information' module. You will find 'Approved' and 'All'. All, includes unapproved draft or modified documents.

Any profile which does not have an icon to its left means that it was created in the org you are currently logged in to.  An icon to the left, as shown in fig 1, means it was created in another org and subscribed to the org you are currently signed in to.  Hover the cursor over the icon and it will tell you which org it was created in.

Click on the NEW button to create a new requirement profile.

2. Creating a new profile

Make certain you select the correct org as this is where the profile will be managed from. You can of course subscribe any profile to other sites but if the requirement is a global one then it should be created in the appropriate global org. If a requirement is relevant to say, 2 sites then it should be created in one and subscribed to the other.

3. CSR profile title

Give the CSR a title but be general and not too specific or the list will eventually be too big. For example, name it as shown and not 'records retention for 10 years'.  The actual detail of how long will come later.

4. Master Data Source

Here you could pick a person in MacDermid as a contact person and their location. This could be the account manager for example.

5. Categories

Click on the 'Associated Management System Criteria' button to select the business standard this particular requirements relates to.

Hold down the Ctrl key to click on multiple standard choices

Click on the underlined choices to choose a sub-category.

You can now choose the clauses of each standard relevant to this particular specific requirement. This category feature can help if you later wish to search by standard clauses

6. Additional Details

When you first set up a profile it is useful to state what the requirement is about and the options for it that may be required. This way others editing this profile will understand the scope of this requirement.

7. Attachments

You can use the 'Attach File' button to enter documents relevant to the particular requirement created.

8. Hosted Customer Profiles

Use the 'Manage Hosted Data' to import from Customer Profiles in Cpro all those customers who have this profile as a requirement

Choose the org where the profile belongs, i.e MPS-Global, Europe, ASia etc and click to search for the customer.

Put a check mark against the customer(s) who have this as a specific requirement

Click on 'Add Selected Data' once you have chosen the customer(s)

Click on the >>> button to send the chosen profile(s) to the CSR profile

The Customer profile is now in the CSR profile and you should choose the 'Edit' button to ensure the data in the fields is accurate especially the field for Specific Requirement Detail

Click on 'Show all sections' to return to the whole profile form

9. Associated Items

Associates items can be used to make a link to another document within Cpro. The intent of this section is to make a link to the associated customer agreements which may be entered into document control Customer Agreements.

10. Reason for Change

Not relevant when you are entering a profile for the first time but when you are modifying an existing profile you need to fill out the tables to record why the change was made. Perhaps to enter a new customer

11. Notification list

Use the >>> button to add individuals in the company who will be notified when this requirement profile is approved

12. Profile completion

Save if you don't want to time-out and lose your info, save and close if you want to come back and edit later or Submission Wizard to send to another person to approve the changes made. If you have entered another customer relevant to this requirement and filled out the change table so they know what has changed you should now submit to the relevant person who can approve implementation of this requirement into their process. For a global or multi-site requirement you may have to submit to multiple approvers.

Choose a relevant allowance which will filter the approvers depending on the area they work.

Confirm Submit or <<< to go back a step

The options to the approver is to 'Approve', 'Reject' or 'Clear Process'. The latter will put the document back to in-process and will not send to selected approvers. If an approver rejects then he or she will have to state a reason for doing so.

Approves should enter their password and confirm to approve the document

13. Editing or Modifying an existing CSR profile

If an intended change to the profile does not require approval then you can simply select 'Edit' and make the change then save and close and give a reason for doing so. This action will not change the approval status of the profile but it will also not send a message to notification recipients automatically.

14. Additional Features

Anyone at any time can create a 'Request Change' if they want to suggest to the author a change to the document. The 'Make Copy' button will create a copy of that profile but will assign it a different number once saved.

The subscribe function can be used for any approved-released profile. It allows you to make a profile appear in another org as well as the one it was created in by putting a check mark against the org where you want the profile to be seen. There is an unsubscribe button to remove it again if required.
