Create Engineering Change Action Response

Create Response(s) from a Change Order Request

From within the request document you can create one or more responses using the buttons provided. If a single response is required, choose 'Create Resolution Response'. Note: For multiple responses to be possible, there needs to be more than one version of a response available.  Check with your Administrator if this is a requirement.  You can choose resolution response button more than once to create similar multiple response documents.

The response will now be visible in the Resolution section. Click on the link to open this response

Editing the Response

Choose Edit to make changes to the response fields

You may choose additional co-assignees at this point

Use the first box to describe the change(s) implemented

Use the second box to detail evidence of the completion of the change

There is an additional details box if required.  You can also make a log of the time spent dealing with the change including associated costs.

Attachments

Use the 'Attach File' button to browse for files and attach. The Manage File Attachments button can be used for removing or reordering any existing attachments in this section.

Use the Browse button (1) to locate the document then Title (2) the attachment. If you don't title the attachment it will not be saved. If you require multiple attachments use the Green + symbol (3) to create more. Choose 'Confirm' (4) when done.

Manage Hosted Profiles

Use the 'Manage Hosted Data' buttons for each appropriate profile type to add a profile from Cpro.  For example you could choose to add the customer name and location who made this request.

Choose the org where the customer profile belongs.  The link will show which can be opened in order to search for the customer required.

You use the search bar (1) to search for a customer name or location. Put a check mark (2) against the entries required and click on 'Add Selected Data' (3)

Once you have made the choices and Added Selected Data, click the Chevron to populate the record with these choices

The Hosted Profiles section now shows the customer name record. This also means that this ECO would be traceable when looking at Customers profiles and Special Actions menus.

Additional Categorization

You should now detail what aspects have been changed as a result of making this change.  These may include documents, drawings, specs, equipment etc. Make at least one choice and choose the chevron to populate into the record.

Choose ECO Disposition Types if appropriate.  Otherwise leave this section blank.

Associated Items

Using the 'Manage Associated Items' button you can add documents that exist already in Cpro.  For example you could associate a Complaint, FMEA, Work Instruction and so on.

As per the Profiles attachments in previous slides make your choices and Add Selected Data.

Notification List

Using the Chevron to open the Directory you can enter names of individuals or groups who need to be notified when this response is completed. These should be in addition to those already in the notification list on the request.  There is no need to enter them again in the response.

Complete response

You can now choose to Save, Save and Close, Complete Response or Abort Response. If you just hit close then all the information you have added without saving will be lost. Choose Complete Response if this Change Response is complete.

It is possible to 'Reopen' a Response.

Now the Request can be approved and closed.  Open the Request document from the Originating Item field link.

Choose the 'Check for Completion' button to accept and close this ECO.  You will see this option if you have the rights to close this particular ECO. If you don't see this option then either the Response is still in Process or you are not the woner of this ECO. A Reader cannot complete your ECO. If you want another person to check and complete then you will have to 'Change Owner', using the button provided.

Once Closed you can reopen the request if required.
