This Article Provides a general overview of the Compliance Assessment Process in CompliantPro using the flow chart below for reference.

1. Process Flow
There are a few key points to remember when working with Compliance Assessments (Audits) in CPro.
- Start by locating the desired Assessment Entity Profile. (These are created locally by each site, and only need to be done once)
- The Compliance Assessment Plan also only needs to be created once when you first setup the audit schedule. Subsequent audits are generated automatically.
- The button to create the findings form is located on the Compliance Assessment Plan in READ MODE. (Most of your time will be spend creating and filling out the Findings Forms)
- Audit Checklists that are "built in" to the audit findings form are available, but optional. (They are a great way to keep your audits consistent from year to year / auditor to auditor, and they are also an excellent strategy to ensure you are adequately covering the specific elements of the standard in your internal audits. They can, however, be tedious to create and require more training, but they're good stills to develop locally that will improve your site's experience with the system)
2. Definitions
Assessment Entity Profile
An Assessment Entity Profile is a special type of document that acts as the Central Point for Compliance Assessment / audit activity. It contains key demographic information such as the area being audited, the process owner of the area, what department it's in, as well as the Management System Criteria (Standards/Sections/Subsections) that apply to the area.
Assessment Entity Profiles can be as generic or specific as needed for each location. While there are essentially an unlimited number of ways to organize them, here are 2 common examples:
- Example 1: You could create a single Profile called "ISO 9001:2015" and organize all of the related Quality audits for each department under a single profile.
- Example 2: If you manage multiple standards under each facility, you could create separate Profiles for each departments/areas within the facility, and place audits relative to those areas underneath. This could mean that the Laboratory profile contains audits for Quality, EHS, and Laboratory Accreditation, while the Waste Treatment area only contains EHS audit results.
Ultimately the decision is up to each site and what works best for their local teams. You will need to make the decision on how to structure your audits as the first step in configuring the audit process in CPro. (It might be helpful to loosely think of the assessment entity structure like creating shared network folders to organize your audit data.)
Assessment Entity Profiles serve as the starting point for creating Compliance Assessments (Internal Audits), Proficiency Testing Assessments, and Third Party Audits.
Compliance Assessment Plan
A Compliance Assessment Plan defines the schedule on which the assessment (audit) will be performed, who is responsible for completing the assessment, and contains the action register (if any actions are created in the Findings Form).
The Compliance Assessment Plan begins at Version 1 and automatically creates the next version on the defined schedule when the Compliance Assessment Findings Form is completed.
Compliance Assessment Findings Form
A Compliance Assessment Findings Form holds the results of the Assessment (audit). It is where you document the results of the assessment by filling out the Summary Sections for Non Conformances (NC's), Opportunities for Improvement (OFI's), and Positive Points. You may also create Action Items for your NC's and OFI's and assign those actions using the built in CPro CAPA system. The Findings Form contains a section for attachments for you to upload files regarding the specific details of the assessment. You may also build and use audit checklists which allow you to document all of your audit questions and findings on the form as opposed to inside an attachment. The benefits of built in checklists are highlighted in section 1 above
When the Compliance Assessment Findings Form is closed, the Compliance Assessment Plan will automatically close and calculate the due date for the next assessment.
